Growth and Rewards Incentive Programme Terms & Conditions

1. OBJECTIVE

The Growth & Rewards Incentive Programme is designed to reward customers with quarterly rebates based on their purchases from us, excluding VAT. Rebates will be issued as gift vouchers which can be redeemed for defined products on the B2B ordering platform.

2. Eligibility

All customers purchasing from us are automatically enrolled in the programme.

Rebates are calculated based on purchases from the previous quarter, excluding VAT.

The rebate percentage is determined by the customer's pricing tier:

Crystal: 0%

Bronze: 5%

Silver: 7.5%

Gold: 10%

Platinum: 10%

Pricing tiers are reassessed every 6 months.

If the customer does not reach their HGI Reward tier spend in the quarter, they will still qualify to the lower HGI Reward tier, if applicable.

Growth & Reward tiers are assigned according to actual purchasing levels. Any variation to this will be at the discretion of the HGI Management Committee.

3. Rebate Calculation & Issuance

At the end of each quarter, total purchases for each customer will be calculated, excluding VAT.

The applicable rebate percentage will be applied to determine the total rebate amount.

Rebates are issued as a gift voucher. For the sake of clarity, the rebate total will be rounded up to the nearest £25.

Example Calculation:

- A Silver-tier customer spends £5,280 (excluding VAT) in a quarter.

- 7.5% rebate = £396.

- Vouchers issued: £400. Rounded up to nearest £25.

4. Voucher Issuance & Redemption 

Gift vouchers will be issued to customers within 15 days after the quarter ends.

Customers will receive vouchers via email.

Vouchers can only be used to purchase defined products on the B2B ordering platform.

Vouchers are non-transferable and cannot be exchanged for cash or other discounts.

Expiry: Vouchers must be used within 1 month from the date of issue.

5. Customer Communication 

Customers will receive a quarterly statement detailing their total purchases, rebate earned, and vouchers issued.

A notification email will be sent once vouchers are available for redemption.

6. Programme Review & Adjustments 

The programme will be reviewed annually to ensure effectiveness.

Adjustments to rebate percentages, tiers, or redemption rules may be made based on business performance and customer feedback.

Any changes will be communicated to customers 30 days in advance.

7. Dispute Resolution 

Any discrepancies in rebate calculations must be reported within 30 days of issuance.

All discrepancies should be reported to customerservice@harpargrace.com the email address that received the vouchers. If this is not possible, please contact your Business Development Manager for support.

Disputes will be reviewed, and resolutions will be provided within 10 business days.

8. Compliance & Restrictions 

Customers must adhere to the programme terms and conditions.

Any misuse or fraudulent activity may result in disqualification from the program participation.

9. GDPR & Data Processing Compliance

Customer data used in this programme will be processed in compliance with GDPR regulations.

Personal data will only be used for the purpose of administering the Growth & Rewards Incentive Programme.

Customers have the right to request access to, correction of, or deletion of their data in accordance with our privacy policy.

Any data breaches or misuse of personal information will be handled in accordance with regulatory requirements.

10. B2B Ordering

Customers will access the B2B portal as they currently do.

The current minimum order values of the B2B portal will remain in place.

SKU’s available for Growth and Rewards will be tagged as a G&R Rewards allowing for filtering on the portal for available products to redeem vouchers against.

Customers will checkout and add the voucher code to redeem the voucher value.

All vouchers are a one-time use voucher. Any value remaining on the voucher at the point of checkout will be lost.

The customer may add more to their basket that the voucher will cover. They can pay for the balance by their agreed payment method.
